Who we are

Link-IT Solutions is a technology consultancy based in Scotland, United Kingdom. In this policy “we”, “us” and “our” mean Link-IT Solutions. We are the data controller for the personal data described here, which means we decide how and why it is used.

What this policy covers

This policy applies to personal data we collect through this website, through enquiries and correspondence, and in the course of providing consultancy services to clients. It does not cover other websites we link to, which have their own policies.

Where we deliver services inside a client’s own systems, that client is normally the data controller for the personal data held in those systems and we act as a processor on their instructions, under a written agreement.

The personal data we collect

• Enquiry data. When you use the contact form or email us: your name, email address, the company or website you give, and whatever you choose to tell us in your message.
• Correspondence. Emails, meeting notes and related records created while we discuss or deliver work.
• Client engagement data. Business contact details for the people we work with at client organisations, and records relating to the engagement.
• Technical data. Information your browser sends when you visit, such as IP address, device and browser type, pages viewed and referring page. Some of this is collected by our website host as part of serving and securing the site.

We do not seek special category data (such as health, ethnicity or political opinions) and ask that you do not include it in enquiries.

Why we use it, and our lawful basis

• To respond to your enquiry and discuss possible work. Lawful basis: legitimate interests: replying to someone who has contacted us about our services.
• To provide services under an engagement. Lawful basis: performance of a contract, or legitimate interests where the contract is with your employer rather than you.
• To keep records for tax, accounting and professional purposes. Lawful basis: legal obligation, and legitimate interests in keeping a record of advice given.
• To secure and maintain the website. Lawful basis: legitimate interests in keeping the site available and protected from abuse.
• To understand how the website is used. Lawful basis: consent, given through the cookie banner where analytics cookies are used.

Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and you can object at any time using the contact details above.

Marketing

We do not run automated marketing sequences, and we do not add people who make an enquiry to a mailing list. If we ever introduce a newsletter it will be opt-in, with an unsubscribe link in every message.

Cookies and analytics

Cookies are small files stored on your device. This site uses:

• Strictly necessary cookies: required to serve the site securely. These do not need consent.
• Analytics cookies: used to understand which pages are useful and how people arrive. These are set only where you consent through the cookie banner, and can be withdrawn at any time by changing your preferences or clearing cookies in your browser.

Most browsers let you block or delete cookies. Blocking strictly necessary cookies may stop parts of the site working.

Who we share personal data with

We do not sell, rent or trade personal data. We share it only with service providers who process it on our behalf under contract, and only as far as they need it:

• Our website host and content delivery provider, which serves the site and holds server logs.
• Web3Forms, which processes contact form submissions and passes them to our email.
• Our email and business software providers, which store correspondence and records.
• Our analytics provider, where you have consented to analytics cookies.
• Our accountant and professional advisers, where a record is needed for tax or legal purposes.

We may also disclose personal data where we are legally required to do so.

International transfers

Some of our providers operate outside the United Kingdom. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on standard contractual clauses with the UK addendum, so that the data continues to receive an equivalent level of protection.

How long we keep it

• Enquiries that do not lead to work: up to two years, so we have context if you get back in touch, then deleted.
• Client engagement records: for the duration of the engagement and normally six years afterwards, reflecting the period in which a claim could be brought and the records tax law requires.
• Website server logs and analytics: short retention periods set by the relevant provider.

How we protect it

We use access controls, multi-factor authentication, encryption in transit, reputable providers, and the principle of collecting as little as we need. No system is completely secure, but we take security seriously and would tell you promptly if a breach affected your data and was likely to result in a risk to your rights.

Your rights

Under UK data protection law you have the right to:

• Ask what personal data we hold about you and get a copy of it.
• Have inaccurate data corrected.
• Ask us to delete data where there is no good reason for us to keep it.
• Ask us to restrict how we use it while a concern is resolved.
• Object to processing carried out on the basis of legitimate interests.
• Ask for portability of data you gave us, in a machine-readable form.
• Withdraw consent at any time where we relied on consent.

To exercise any of these, email stephen@link-itsolutions.com. We will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We update this policy when our practices change. The date at the top shows when it was last revised. Material changes affecting people we hold data about will be communicated directly where practicable.
